Bulkmail Post Office

Bulkmail Jobs are sent via a Bulkmail Post Office. Each Bulkmail Post Office utilises a particular mail server (SMTP or Sendmail), and you can set the email headers and threshold settings, which determine rate at which emails are sent. You can configure multiple Bulkmail Post Offices to handle large volumes or multiple email streams, as required.

The options you define for your Bulkmail Post Office become the default for any Bulkmail Jobs created beneath it in the Asset Map. If all your jobs have the same recipients or the same headers for example, then you would set these values in the Bulkmail Post Office and the jobs beneath it would inherit the values. You can override the post office values for a particular Bulkmail Job on the Details screen (for more information refer to the Bulkmail Job chapter in this manual). If a Bulkmail Job is not created under a Bulkmail Post Office, the job is given the default post office settings defined in the Bulkmail Manager.

If you have a number of mail servers that you use for different purposes, you will need to create a Bulkmail Post Office for each server.

Tip: Use a Bulkmail Post Office if you want to use different settings to those defined in the Default Post Office in the Bulkmail Manager. If you want to use the Default Post Office then you do not need to create a Bulkmail Post Office.

Once your Bulkmail Post Office is created, you can configure its settings on its associated asset screens. The majority of these screens are the same or similar to those for a Standard Page and are describe in the Asset Screens manual. In this chapter, we will describe the Details screen, which is different for a Bulkmail Post Office.

Permissions and Allowing Access to Users

A Backend User needs to have Write Permission to a Bulkmail Post Office for them to be able to create Bulkmail Jobs beneath it. By giving them Write Permission, however, they can also access the Details screen of the asset. As the Details screen of a post office contains information about your mail servers, you may not want a Backend User to edit these details and hence stop the Bulkmail Job from working. One way of doing this is to restrict access to the Details screen of all Bulkmail Post Offices via the Security Restrictions screen for a User Group (for more information about the Security Restrictions screen refer to the Users and Permissions manual). This would mean that if a Backend User that is a member of that User Group tries to access the Details screen, they would be presented with the Squiz Matrix login box.

Details Screen

The Details screen for a Bulkmail Post Office allows you to enter the details of the server to use when sending the emails. For more information about the Status, Future Status,Thumbnail and Details section of the screen, refer to the Details Screen chapter in the Asset Screens manual.

Job Progress

By default, this section does not show on the screen until a Bulkmail Job that is a child of this Bulkmail Post Office is either queued to run or is currently running, as shown in the figure below.

You can Cancel or Pause a job by selecting the appropriate value from the Control list. If you Pause a job you can Resume it at a later stage by selecting it from the list.

Tip: If you resume a paused job, it will not be processed until the next time the Scheduled Jobs Manager is run.

Server Details

This section allows you to configure the server details for your Bulkmail Post Office. For more information about this section refer to the Server Details section in the Bulkmail Manager chapter in this manual.

Header Details

The Header Details section of the Details allows you to configure the header settings for the emails. For more information about this section refer to the Header Details section in the Bulkmail Manager chapter in this manual.

Threshold Settings

The Threshold Settings section allows you to control the sending of e-mails by either setting a rate at which mail will be sent or excluding times at which mail will be sent. For more information about this section refer to the Threshold Settings section in the Bulkmail Manager chapter in this manual.

Tip: If the Bulkmail Manager has been set up with Force Defaults set to Yes in the ThresholdSettings then any Threshold Settings that you specify for your Bulkmail Post Office will not apply.
