Notification Emails During Workflow

When Workflow is running, the following emails will be sent:

  • The users and/or user groups in each step of the approval process will receive an email when it is their turn to approve the changes. For example, when a user selects Apply for Approval, the users and/or user groups in the first step of the approval process will receive an email. Once this step has been approved, the users and/or user groups in the second step will receive an email.
  • When a step is approved and/or rejected, the users and/or user groups in that step will receive an email saying that it has been approved or rejected.
  • When a step has expired, the users and/or user groups in the step will receive an email reminding them that they need to approve the changes to the asset.
  • If a step is escalated, the users and/or user groups in the step will receive an email notifying them of the escalation.
  • If a step is escalated, the users and/or user groups in the escalation step will receive an email asking them to approve the changes.
  • If the changes are rejected during workflow, the user who applied for approval will receive an email notifying them that it was rejected.

The contents of these emails can be customised on the Custom Messages screen of a Workflow Schema.
